A useful conversation while you’re on the job

AI answering for contractors. A clear next step for callers.

Give inbound callers a place to start. TAVA uses AI to capture the details, ask approved questions and connect the inquiry to scheduling, a callback or your team.

The live inbound conversation

You can’t stop every job to answer every call.

But the caller still needs to know what happens next.

A contractor answering service should fit the way you work. TAVA’s AI answering is configured around your services, intake questions and approved next steps. Coverage hours, call forwarding and exceptions are agreed during setup—not assumed.

Live receptionists and AI services can both qualify and schedule calls. The choice depends on the conversations you need handled, human support requirements and the connections your workflow needs.

What a call can accomplish

Gather the context. Arrange the next step.

01

Answer the incoming call

Use your approved greeting, business information and common answers. The service uses AI; it is not a staffed human receptionist desk.

02

Capture contact details

Ask for the caller’s name, callback number and relevant contact information so your team has a way to follow through.

03

Understand the job

Collect service type, project location, timing and other approved questions. Apply your service-area and job-fit rules.

04

Schedule or request a callback

Where the connected calendar supports it, offer available next steps. Otherwise capture a callback request rather than inventing availability.

05

Route or escalate

Use an agreed transfer or notification route where supported. If no person can be reached, follow the approved fallback and capture the request.

06

Connect the follow-up

Pass supported contact and inquiry details to the CRM and follow-up workflow, with a clear owner for the next action.

Illustrative call flow

“I’d like an estimate.”
What happens next?

This is an example workflow, not a real customer call or a promised booking.

  1. Understand the request.

Ask which service is needed and where the project is located.

  2. Check the approved rules.

Confirm whether the request matches the business’s service area and intake criteria.

  3. Offer a supported next step.

Use connected availability for an estimate appointment, or collect a callback request.

  4. Hand over the context.

Send the captured information into the configured record and follow-up process.

The boundary matters

When AI shouldn’t handle it alone.

Uncertainty needs a handoff—not a made-up answer.

Setup must define how to handle unsupported questions, sensitive issues, requests for a person and situations outside the approved script. A transfer depends on the connected phone setup and someone being available; otherwise the workflow captures a callback or notifies the agreed contact.

  • No invented quotes, availability or commitments
  • No technical diagnosis or emergency-response guarantee
  • No assumption that every caller or inquiry is a fit
  • Clear fallback rules when a connection or handoff fails

AI can misunderstand callers. Review your highest-risk scenarios and what your team needs to supervise before launch.

Implementation and compatibility

Set the rules before taking the calls.

Map the intake

Define services, coverage, qualification questions and approved answers.

Confirm connections

Check phone forwarding, calendar availability, CRM fields and notification routes against your existing tools.

Review scenarios

Test normal inquiries, exceptions, requests for a person and unavailable appointment times.

Agree on ongoing scope

Define who updates business information, reviews exceptions and maintains the configured workflow.

Compatibility is confirmed for your particular tools and plan. We do not promise a native integration with every phone system, calendar or CRM.

Cost and scope

A quote based on the call flow you need.

There is no published fixed package on this page. We’ll discuss setup, expected call volume and duration, required connections, routing complexity and ongoing support before quoting the work.

Ask what is included, how usage is handled and which changes would affect the cost. No specific price, unlimited usage or service level is implied.

Common questions

Contractor answering service FAQ

Is this an AI or human answering service?

TAVA uses AI for the inbound conversation. Human routing, notifications and callbacks are configured around your team and supported connections; this is not a promise of a staffed receptionist service.

Can it handle after-hours calls?

After-hours coverage can be part of the agreed configuration. We first need to establish which inquiries are appropriate, when a person is available and what the fallback should be.

Can it book an appointment?

Scheduling depends on a supported calendar connection and approved availability. If booking is not appropriate or available, the workflow should capture a callback request rather than promise a slot.

What happens after the conversation?

Captured information can move into the supported CRM and follow-up workflow. AI answering handles the live call; lead follow-up handles subsequent messages and next actions.
